Section 1 — Purpose and scope

This Artificial Intelligence Acceptable Use Policy ("Policy") establishes guidelines for the responsible use of AI tools by all employees, contractors, and third parties acting on behalf of Acme Corp ("the Company").

The rapid adoption of AI tools introduces both significant productivity opportunities and serious data security risks. Employees using AI tools to process confidential financial data, client PII, or internal communications can inadvertently expose that information to third-party AI providers whose data retention and training policies may conflict with the Company's obligations to clients and regulators.

Section 2 — Who this policy applies to

This Policy applies to all full-time and part-time employees, contractors and freelancers with access to Company systems or data, and any third party using AI tools while performing work for the Company. Compliance is mandatory. Violations may result in disciplinary action up to and including termination of employment.

Can employees use ChatGPT to help write emails?
Only using the enterprise-licensed version with corporate credentials. Do not paste client names, account numbers, or any confidential financial data. Personal free-tier accounts are prohibited — inputs may be used to train the model, which would violate our data obligations.
Can employees use AI for meeting notes?
Only for internal meetings, with all participants notified before recording begins. Do not use AI meeting tools for client calls unless the client has given explicit written consent and the tool has been approved by IT.
